We want all our visitors to have a magical, fun filled and safe glamping experience so, to ensure this happens, we’ve put together these terms and conditions to keep our guests, ourselves and our animals safe. Please ensure you read them carefully as by booking with us you are agreeing to our terms and conditions. If you have any questions or need any further information, please get in touch.
Cae Nant Glamping reserves the right to change their website, including prices and terms and conditions, without notice. We also reserve the right to refuse entry to the site, cancel bookings, or instruct people to leave the site for any reason (for example due to inappropriate behaviour, dangerous weather or site conditions.)
Use of the Cae Nant Glamping website constitutes acceptance of our Terms and Conditions and Privacy Policy.
Privacy
Your contact and personal details may be kept by us for future mailings and news. If you do not wish to receive these, please let us know. You may also opt out of receiving emails at any time by contacting us. The booking process asks for your address details and phone numbers, these are required by the Local Authority so at any time we can prove you are not residents at the camp site. It also allows us to contact you should the internet fail and if we need to contact you whilst you are travelling to site. Please note that your financial details are NEVER stored, nor seen, by us.
We will not pass on or sell your details to any third parties.
Booking
To secure your booking we require a 50% non refundable deposit. The remaining balance is then due 6 weeks prior to arrival. If the booking is less than 6 weeks away then payment is required in full. A confirmation email will be sent once we have received your payment.
The person booking is responsible for disseminating the appropriate information sent to them to others in the party. For example, these Terms and Conditions, the site kit list including directions and on arrival the information pack within each glamping unit. This is to ensure they are fully aware of the nature of the campsite, health and safety issues, the wider woodland, the facilities and appropriate clothing/footwear they require. We do not accept any bookings from unaccompanied under 18s.
We have a minimum stay of 2 nights. If any members of your party are only staying for the night then our minimum 2 nights stay policy still applies.
Payment
Payment is taken via the Bedful online booking and management system using Stripe as a payment processing provider (info can be found on their website bedful.com). Payment is taken in UK Pounds Sterling only.
Security Deposit
The booking management system will organise a security deposit and additional charges will incur as a result of any damages, anti-social behaviour or any additional cleaning if the accommodation is left in an unsatisfactory way. Although we do understand that accidents can happen which may result in damage so please let us know during your stay should anything occur.
Parking
There will be one parking space per glamping unit. Additional parking is available with prior arrangement.
Quiet Glamping
Cae Nant Glamping site is considered to be a quiet area and we do ask guests to keep noise levels to a minimum after 10pm out of courtesy to other guests and the other residents nearby. No music after this time please.
Fire Pit, Hot Tub, Wood burning stove and Pizza oven
Please take extra care when using our wood burning items (see our operational guides). Only wood provided by Cae Nant Glamping can be used. Wood will be provided for your stay but more can be purchased if needed. Please do not burn wood you find around the site or elsewhere, all our wood is seasoned and tested to preserve the life of our appliances. We maintain these items and will provide them to you in full working order. You use our wood burning items at your own risk and we will not be held responsible for injury or damage through improper use. Children must be supervised around wood burning items at all times.
General
We are a working smallholding and surrounded by working farms. Please be mindful of farm machinery during your break. Please take extra care around the animals. Please do not enter their paddocks at any time. Our animals may bite or kick. Our sheep are friendly but may knock down small children so adult supervision is recommended. Please wash your hands after contact with any animals.
Day visitors are permitted between 9:00am and 7:00pm.
Changes to bookings
Please let us know as soon as possible. Where changes are possible there will be an administration fee of £25.00. Changes must be made in writing by the person who made the booking.
You cannot change a booking within 30 days of your arrival date.
Cancellation
If cancellation is made 6 weeks prior to arrival then any sum paid above the deposit amount will be refunded. The deposit amount is not refundable. It can be held over to another date, subject to availability later in the year or the following year. If this option is taken there will be a £25.00 handling charge.
If you roll over to another date for which a higher sum is charged, you will need to pay the difference.
If cancellation is made within 3 weeks of the arrival date 100% of the total sum will not be refunded (as generally we cannot re let the dome in that time) and your stay cannot be rolled over to a later date. However, if we do manage to re let it in this time we will refund accordingly.
Any cancellation or change must be confirmed in writing / email, by the person who made the booking.
Cae Nant Glamping is not liable for refunds or expenses you incur in the event we are prevented from fulfilling your booking as a result of circumstances beyond our control. Such circumstances shall include (but are not limited to) war, terrorism, riots or civil unrest, industrial action, flooding, natural disaster, epidemics, health risks or such similar events (“Force Majeure”) We strongly advise visitors to take out full holiday insurance to cover cancellations, public liability, personal belongings, loss etc.
Our rights to cancel your stay
We may cancel your stay at any time in writing to you if:
1. You do not make any payment to us when it is due and you still do not make payment within 14 days of us reminding you that payment is due.
2. You do not, within a reasonable time of us asking for it, provide us with the information that is necessary to provide the glamping services such as guest numbers.
If we end the contract under points 1 and 2 then you may be subject to a cancellation charge in accordance with our cancellation policy above.
Arrival and Departure Times
Check in is between 4.30pm -8pm. Guests must advise us of their estimated arrival time and telephone when they are half an hour from the glamping site. If you are likely to be later than 8pm please let us know so we can arrange for someone to meet you and show you to your dome.
Guests are required to vacate their accommodation by 10.30am on day of departure.
Group Bookings
If you are planning to have a noisy all night party then we are not the site for you.
It is essential that the entire group is made aware of the following Terms and Conditions. This responsibility lies with the person making the booking in order to ensure that the Terms and Conditions are adhered to.
PLEASE NOTE IF THE GROUP FAILS TO ADHERE TO ANY OF THESE TERMS AND CONDITIONS, YOU WILL BE ASKED TO LEAVE WITHOUT ANY REFUNDS AND YOU WILL LOSE YOUR DEPOSIT. WE ARE A LOW NOISE POLICY GLAMPING SITE.
The group organiser is responsible for collecting the deposits and final balances which are required to secure the booking.
Final numbers must be confirmed 8 weeks prior to arrival. If numbers drop within one month of arrival then no refund will be given.
There must be no more than 30 guests on site.
Only those guests originally booked are permitted to stay on site. Any extra guests (adults or children) will only be permitted on site at the owner’s discretion. If additional guests are allowed on site, then extra charges will be incurred at £25.00 per day.
Quiet background music is permitted until 10pm.
When enjoying yourselves here at Cae Nant Glamping, particularly at night, please be considerate to your neighbours and the local residents within the area. THEREFORE NOISE LEVELS MUST BE KEPT TO A MINIMUM AFTER 10 PM. If there are any complaints about your behaviour you will be given ONE warning. If you continue to be disruptive then you will be asked to leave the site and you will lose your deposit. No refund will be given.
If any property is damaged during your stay then please inform the owner immediately. Serious damage to property will result in the group being charged the full amount for a replacement.
Do not use any fireworks, sparklers or Chinese lanterns as there are animals in neighbouring fields including horses.
You must not organise external suppliers e.g. activity providers to visit during your stay without prior agreement. You are required to provide us with the details of any company visiting the site. This includes the times in which they will be present on the site.
On the morning of check out, you must have cleared everything out of your dome by 10.30am or by arrangement so that they can be cleaned. You are welcome to leave your cars on the field and head off for a walk etc.
Your visit to Cae Nant Glamping
Guests and visitors agree to be considerate tenants and to take good care of the domes and facilities during their stay. Guests and visitors agree not to act in any way which would cause disturbance to other guests.
Dogs
Dogs are allowed on site with prior notification and should not be allowed onto any of the furniture / bedding. Your dog must be kept on a lead at all times whilst on site. Dogs must not be left unattended inside the accommodation. Dogs must be cleaned before being allowed into any accommodation. All dog waste must be cleaned up immediately and disposed of in the appropriate bin. If a dog create is required we can provide one upon request.

Should any facilities, equipment, or inventory be damaged wilfully as a result of inappropriate usage or behaviour, or as a direct result of failing to respond to instructions from Cae Nant Glamping you will be held responsible for the cost of repair or replacement of that item. Cae Nant Glamping cannot accept responsibility for any loss, damage or expense arising from industrial action, terrorist activity, adverse weather conditions or any other event outside the control of the company.
By booking and coming to Cae Nant Glamping you agree to be responsible for your children and any children you are in charge of as well as your own welfare. You also agree to take all reasonable precautions against personal injury, injury to others and damage to the woodland, facilities and the dome (please see our risk assessment for details). Cae Nant Glamping is not responsible for any damage or loss to your possessions that you bring to the site or wider woodland. You use the facilities and amenities at the site and wider area at your own risk, fire pits must remain on the stoned area and not be moved near the dome.
This is strictly a no smoking site.
We do not permit smoking anywhere within the site boundaries.
We do not permit the use of candles inside or outside the dome. Disposable barbeques are not permitted as a barbeque will be provided. Cae Nant Glamping accepts no responsibility for any loss or injury arising from being in the site or wider area. By booking, acknowledging these Terms and Conditions, you are aware of the risks, hazards, and dangers of personal injury in entering the site and area around it. (For example, the woodland may contain deadly poisonous mushrooms, toadstools, and fungi or the brook may be a risk if children are left unsupervised.)
Camping in Britain can mean dramatic variance in weather in a short period of time. Whilst we supply certain facilities and equipment, as described in the inventory sent to guests on confirmation of payment, it is still camping and you are responsible for your own well being and comfort regarding appropriate clothing and footwear etc. In extreme weather conditions such as exceptional cold and snow, when forecasted we do our best to warn guests and give them the option to move dates (subject to availability) without being subject to the cancellation policy administration handling charge, or loss of any monies. However the domes are heated and fully insulated and the weather would only prevent you from coming if the access to the site was compromised. (e.g. flooding or snow drifts)
